STUDIO POLICIES

By booking our space you consent to abide by the following rules and policies. Please read over all studio policies carefully prior to booking.

  • Rental time includes set up and break down times. Please leave enough time for preparation and setup, as these are included in your booking time and should not extend beyond it.

    NO Alcohol. Any assumption of alcohol within the studio will result in a minimum fine of $500+HST.

    NO Smoking/ vaporizers (including recreational drugs). Violation of this rule will result in a minimum fine of $500+HST.

    • If any member of your party comes intoxicated, we reserve the right to ask them to leave the studio immediately.

    NO confetti, fake snow, feathers, sand, paint, aerosol spray cans, or any small particles that are difficult to clean are allowed. Any violation of this policy will result in a minimum cleaning fee of $200+HST, which will be deducted directly from your damage deposit.

    No food or drinks on upholstered furniture.

    DO NOT DRAG FURNITURE OR EQUIPMENT.

    Furniture and equipment must be lifted if you wish to move them. Dragging them on the floor is not permitted.

    Please keep the music and noise at a reasonable volume. If we receive complaints from neighbors due to excessively loud music or noise, a minimum fine of $100 will be imposed.

    Please take off your shoes if you need to step on the furniture. Indoor shoes or shoe covers should be used when entering the studio.

    • Keep studio door closed throughout your booking.

    Please do not leave any trash behind. We have trash bins in the studio, so kindly dispose of all garbage in those bins.

    The studio must be returned to its original state before your end time.

    All studio guests are strictly prohibited from entering restricted areas, including the staff office, storage area behind the change room, and overhead storage above the office. Unauthorized entry into these restricted areas will result in a $500+HST fine. Studio clients will be held responsible for the full replacement value of any damages or lost items resulting from unauthorized entry to restricted areas.

    • Disrespectful, exclusionary, hateful, or discriminatory behaviour will not be tolerated in our studio by ANY person towards any other. Anyone displaying such behaviour through their words or actions will be asked to leave immediately without a refund or other compensation for uncompleted services.

  • Please note that standard rent is for cyclorama AS IS condition. With at least 1 week notice, the cyclorama wall can be repainted (subject to an additional $250+HST repainting fee). Please contact us before adding this service.

    Do not walk/stand on the curved portion of the cyclorama wall. Doing so will damage the wall with repairs starting at $500+HST. Make sure there is enough space between your subject and the wall. (An arm's length away from the curve would be the ideal distance).

    Don’t use, bring, or drag sharp objects onto the cyc wall or you will be charged a cyc wall restoration fee for damages they make on the wall.

    Don’t drag furniture, stands, tripods, or other heavy equipment. Instead, lift and carry over carefully not to scratch the cyclorama.

    Absolutely no eating or drinking near the cyclorama.

    • Any structural damage to the cyc wall will result in a cyc wall restoration fee based on the repair cost.

  • We don’t accept pencil bookings.

    Visit our booking page to choose the duration, date, and time for your booking. Your card information will be held upon submission, and it will be charged once your booking is confirmed. If we need to cancel for any reason, your card won't be charged.

    Only bookings made at least 24 hours in advance can be made online. For immediate bookings, please email us directly or call us.

    All reservations must be paid in full at the time of booking.

    No bookings will be held without payment. If you are requesting a customized quote, we will send you an electronic invoice for online payment. Your reservation will only be secured once we receive your payment.

    • You will receive a confirmation email once your booking and payment have been approved.

    • You'll get an email with check-in instructions and studio rules 24 hours before your booking. If you don't see it, check your spam or junk folders, or contact us.

  • The studio is monitored by security cameras for safety purposes. The video footage is used to confirm damage, theft, late departures, and policy violations.

  • Please be up-front about how many people will be attending as we charge accordingly.

    • Up to 10 people in total for photo/ video production.

    Please contact us in advance if the number of guests exceeds the limits listed above.

    • Please note that the number of attendees for your shoot at our studio should NOT exceed the number you claimed when booking. If you need to make changes to the number of attendees after booking, please email us for approval. If we find that the number of attendees on the day of exceeds the number you claimed, we will charge an additional fee of $100+HST per extra person.

    • Please make sure you provide accurate information when submitting your booking request. If we need to cancel your booking because of inaccurate information you provided, we will deduct 10% admin fee from your refund.

  • • Our studio is not soundproof, other activities in the building cannot be restricted or subdued to accommodate audio capture.

  • • Free onsite parking is available in our parking lot.

    • We ask you to limit your cars to a maximum of 5 on weekdays. If you need more parking spots there are free street parkings on Hafis Rd.

    • There is no restriction for weekends.

    DO NOT park directly in front of the garage door, keep the lane clear for trucks. You can park there briefly for loading/unloading only. Please move your car to a proper parking spot in the parking lot after loading.

  • Please DO NOT arrive early, your booking starts at the time you have reserved and ends at the scheduled time. If you need additional time to move items or load/unload, please make sure to book the appropriate duration.

    Early arrival counts as overtime. If you want to access the studio before your scheduled time, you will be charged for the extra time.

    We do not grant additional time for late arrivals. The time you book is the total time you have, from setup to departure.

    Please inform us in advance if you will require extra time. Kindly contact us at least 1 hour before your booking ends. Please be mindful of time, as there may be another guest after you. If there's no guest scheduled after your shoot, If there's no guest scheduled after your shoot, you may extend in 30 minutes increments (30mins=$60+HST).

    If your booking runs over its scheduled time and interferes with the next guest's appointment, you'll be charged double the regular overtime fee.

    No free overtime. To avoid overtime charges, please ensure that all crew, guests, and equipment are outside of the studio when the booking period ends

    • If you’ve gone over time without prior notice, overtime fee are billed at $50+HST for every 15 minutes, and $120+HST per hour if you go over 30 minutes.

    • For events, overtime hours are billed at the same rate per hour as the original booking.

    *Note: Overtime fees will be automatically charged to your card on file.

  • • All clients will be required to complete a general liability waiver as well as a credit card authorization form prior to arrival. The credit card authorization will automatically expire in two business days after completion of the booking, provided the studio remains in a satisfactory condition. Failure to sign these documents will result in denied access to the studio without refund.

    • We will inspect the studio after your booking. Everything inside the studio including but not limit to furniture, props, equipment should be return to their original position. All garbage must be put in the bins or garbage bags provided.

    • In case of any damages to the floor/furniture/props or any other studio equipment you will be asked to reimburse the cost of the damages, plus loss of income.

    • If you need additional time for your setup, please factor it into your booking as no ‘prep time’ will be given.

    *Note: Damage & cleaning fees will be automatically charged to your card on file.

  • • Studio Plus Four only offers studio credit for cancellations (no refund).

    • Studio credits will be available for 3 months before expiration.

    • Studio Plus Four is not responsible for events beyond its control that may affect the booking, such as weather, power outages, construction work, emergencies, force majeure, lockdowns, Acts of God, etc

    • Studio Plus Four is committed to providing a space in good condition but does not make any guarantees on the studio’s suitability to the renter’s need and requirements.

    • If you cancel/reschedule your reservation with at least 7 days notice from your booking date, there will be no reschedule fee.

    • If you cancel/reschedule your reservation within 48 hours- 7 days from your booking date, your reschedule fee will be 30% of your booking value.

    • If you cancel/reschedule your reservation within 24- 48 hours of your booking date, your reschedule fee will be 50% of your booking value.

    • If you decide to cancel or reschedule within 24 hours of your booking date, you will be liable for the full value of the booking.

    • Kindly be aware that after your initial reschedule request is approved, should you desire to reschedule for a second time, a reschedule fee equivalent to 50% of your booking value will apply, regardless of the timing of your request. In the event of a third rescheduling request, you will be responsible for the entire booking value.

    • The time for your reschedule request is determined by when we receive/process your payment. An oral confirmation without payment does not count as an official confirmation of the reschedule.

    Unused hours or no-show appointments will not be eligible for any studio credit.

    No negotiation No exception.

  • • Up to 40 people for intimate events.

  • • Pets Allowed (Special request only). A pet fee of $50+HST is applicable for each pet. Prior approval is mandatory before bringing your pets into the studio. Should you arrive with pet(s) without prior authorization, a fee of $100+HST per pet may be charged if access is granted, or access may be denied without any refund.

    • Service animals are exempt from the pet fee; however, you will be requested to provide acceptable documentation. Please note that emotional support animals are not classified as service animals.

  • We offer free internet access to all our guests. The network name and Wi-Fi password can be found on the standing sign at the entrance.

  • • We are not liable for any injury or damage to the client's (including all team members and invitees of the client) person or property.

    • We are not responsible for receiving and/or signing for rental and delivered items.

    • Please take all personal belongings with you after your rental period. Any items left at the studio beyond the rental period without pre-approval by our team members or manager shall incur an additional charge that will be charged from your credit card on file. We are not responsible for any loss or damage that may occur to the items left at the studio.

  • In the event that the customer has been granted access to the studio using a lockbox, it is the sole responsibility of the customer to properly secure and lock the studio premises upon completion of their use, ensuring the key is returned to its designated lockbox. Should the studio remain unlocked due to negligence on the part of the customer, the customer shall be held liable for any loss of property sustained by the studio resulting from unlocked entry points.

    In instances where the key is missing or removed by the customer upon departure, the customer shall assume liability for expenses incurred in replacing the entire lock mechanism. This includes associated administrative costs and potential loss of income, as determined by the management.
